My free Google Apps Gmail account has about 7.5GB of storage space, total. That's extremely generous on Google's part, but that amount of space does eventually fill up - especially if you have people sending you huge PowerPoint presentations, videos of their baby's first steps, or hilarious kitten photos in full resolution (because they have no idea what "resolution" means, much less how to reduce it).

What I find perplexing is that Google never included an option to sort or filter messages by size. I have no doubt that this is a business decision, because implementing such a feature would be trivial for the Gmail team. To speak bluntly, I think Google wouldn't mind it so much if I ran out of free space on my Google Apps account; then I'd have to get some more space, and this time it would cost money.

If I actually needed more space, or even if Google was simply upfront about its reluctance to provide such an option, I'd be fine with this. As things stand now, I feel that Google is being uncharacteristically stingy.

This is where Find Big Mail comes into play. While Google does not provide a way to filter by size, it does provide IMAP access. Find Big Mail accesses your Gmail account via IMAP, and it catalogs all of your messages by size. It creates three labels - one for messages larger than 2MB, one for messages larger than 500KB, and the last is for messages larger than 100KB.

Once it completed scanning my account, I simply clicked the label that said FindBigMail > 2mb, selected all messages, and clicked Delete. I then went to the trash folder and emptied that. Voilà - I dropped from 64 percent occupied space to 36 percent. How awesome is that?

Find Big Mail's free option scans only a third of your total mailbox, but it was enough for me. For $5 it will scan your whole Gmail account. You don't have to provide it with your password - only authorize it via Google's own access control. Once it's done, you can revoke its access from your Google account page. I highly recommend it!

Find Big Mail lets you quickly free space on your Gmail account originally appeared on Download Squad on Wed, 17 Nov 2010 15:00:00 EST.
To do this, you'll need a Yahoo! account (Mozilla's Asa Dotzler says a Windows Live account works, too). It's free, so you can sign up for a throwaway if you don't already have one. Once you've done that, take a look at our step-by-step instructions for exporting your friends' contact info, after the jump.
Continue reading How to rescue your friends' email addresses from Facebook and export them to Gmail

How to rescue your friends' email addresses from Facebook and export them to Gmail originally appeared on Download Squad on Tue, 16 Nov 2010 09:30:00 EST.
Google has announced a subtle re-tooling of the Gmail homepage, trimming the verbal fat and giving the page a cleaner, more organized appearance. It's hard to believe, but the new version of the page is lighter by about 250 words. The update shouldn't come as a surprise, what with Google's penchant for keeping things slim.

More interesting than the facelift on Gmail.com is the updated Gmail logo. While the changes are subtle, it's worth noting that the new envelope icon in the logo first appeared in Google Chrome a few builds ago. If you had Chrome Web Apps support enabled in your browser, there's a good chance you, too, got an early peek at the updated logo's biggest change.

Gmail gets a new logo, slimmer homepage originally appeared on Download Squad on Tue, 16 Nov 2010 06:23:00 EST. It's more like instant messaging than email -- more like a conversation than a threaded email conversation. Yes, every communication that goes through the Facebook messaging platform will create a conversation history. Much like Google Wave, actually.

The idea is that you will push every digital communication through Facebook, and thus everything can be logged -- every message has a context. If you email and SMS your significant other, both those messages will appear in order, in the conversation history.

Facebook has invested in lots of shiny new infrastructure that builds upon their existing technologies -- they're ready for the swell of traffic that the <strike>email</strike> instant messaging will generate. Lots of protocols are supported, too, like XMPP and Jabber -- and IMAP support is planned.

The 'social inbox' feature sounds a lot like a hyper-intelligent 'Priority Inbox' system. By default, email (or any communication) from your friends or friends-of-friends will appear at the top of your inbox, followed by everyone else. You can also automatically bounce anyone that isn't a friend; awesome! You can of course make it so non-Facebook friends appear at the top of your inbox too.

Mark Zuckerberg, the CEO, closed with (roughly) these words. "This is not an email killer. This is a messaging system that includes email as one part of it. We don't want people to shut down their Yahoo or Gmail account. People are shifting towards more and more simple communication -- if we do a good job, we think more people will engage in IM [on Facebook's new platform]. If we do a good job at that, maybe one day, two years out, people will say that instant messaging, not email, is the way forward."

Update:

There's no content filtering (no rules)

Incoming mail from people that don't use Facebook will automatically hit your normal, 'non-priority' inbox

You can move friends down the priority list, and move 'external' non-Facebook friends up

Message forwarding will be possible

Unlimited storage! Or at least, no explicit cap on how much data you can store

There's a video after the break that demonstrates the new Messages product

Extolling the virtues of what messaging should be -- seamless, instant, personal and simple -- Mark Zuckerberg has just launched what sounds just like a socially-aware version of the now-defunct Google Wave.

It is not email -- though you will get a username@facebook.com email address -- but it handles email. It's a messaging platform that interweaves all of your incoming messages, be they SMSes, emails or instant messages into one big dashboard.

The most exciting prospect is the idea of a 'social inbox', which is basically an automatic email whitelist. Instead of being forced to hand-create lists of 'favourite' friends that skip your spam filters, Facebook's new messaging platform will automatically filter mail from your Facebook friends, your friends-of-friends, and so on.
Things are relatively quiet this morning in the blogosphere, with the except of rumblings about Facebook possibly launching their own webmail app to compete with the likes of Hotmail, Yahoo! Mail, and Gmail. In reality, it's probably not so much about competition as it is with getting Facebook users to spend as much time on the site as possible -- adding to Facebook's glut of delicious, highly-targetable-by-advertisers data.

Like any good, up-to-date, Web-based email, Facebook's offering is said to offer integrated document editing and viewing, courtesy Microsoft's Office Web Apps (OWA). When Docs.com launched in beta, of course, the only way to get in on the action was to sign up via Facebook. It certainly stands to reason, then, that Facebook's rumored webmail app would feature tight integration with OWA. ZDNet's Mary Jo Foley cites a Facebook source as saying "The Office Team has been working on this for quite a while now."
We'll keep you posted as events unfold, but if the invite-only launch of Facebook Mail does happen today you'll have to be living under a rock to avoid hearing about it.
Facebook Mail and Office Web Apps combo to go head-to-head with Google? originally appeared on Download Squad on Fri, 12 Nov 2010 09:30:00 EST.
This morning, TechCrunch speculates that Facebook is going to launch a "Gmail killer" this coming Monday. Facebook has sent out invites to an event in San Francisco where they will supposedly announce it. Its working title is Project Titan, but it will probably change into something much more friendly for mass-consumption (let's just hope they don't call it "FaceMail" or something horrible like that).

Facebook already has a treasure trove of personal information and a huge messaging platform. If they throw email into the mix, this may become a real threat to Gmail. It would also make Facebook even "stickier" than it is - or provide people like me with one more reason to keep their distance from the privacy-invading behemoth.

[It's at times like these that I feel compelled to remind everyone that Hotmail and Yahoo both have more users than Gmail. A "Hotmail killer" would be far more impressive. -Ed]

Facebook to launch alleged "Gmail killer" on Monday? originally appeared on Download Squad on Fri, 12 Nov 2010 05:10:00 EST.
We all have email. We have too much email, actually. And it stays in the inbox and just piles up, gathering dust, cobwebs and guilt. There are tons of services, systems, and lifehacks to try help us get rid of some of that overload, or at least handle it a tad better.

0Boxer is another such attempt, but it's a particularly graceful one. It comes as a Firefox or Chrome extension that hooks onto Gmail and rewards you every time you do something to handle your email. You get points for replying to messages, for archiving them, and even for composing new messages -- though that last bit seems a tad counter-intuitive. I thought the idea was having less email, not more.

Still, the concept is very cool. You also get "badges" when you perform particularly impressive feats, such as archiving your first message (I'm a big boy now!).

Since this is 2010, everything must be social - and 0Boxer doesn't disappoint. You can use it to find your friends who are also playing the game, and supposedly compete with them. I haven't tried this (you need to have friends for this to work), but it's definitely intriguing. All in all, it does add a bit of interest and fun when replying to scads of messages!

A few days ago, we were able to get Hotmail's new opt-in, full-session SSL (HTTPS) turned on, and now Microsoft has announced the general availability of the new feature. What we didn't know at the time is that the security upgrade has also been applied to other Live services -- including SkyDrive, Docs, Photos, and Devices.

If you'd like to activate full session SSL (and we'd recommend you do, especially if you ever access these services on public or shared computers), head on over to https://account.live.com/ManageSSL. Once activated, all future Web connections will be protected.

It's important to note, however, that flipping the SSL switch means you won't be able to access your Hotmail via Windows Live Mail (desktop), the Outlook Hotmail connector, or the Windows Live app for Windows Mobile 6.5 and Symbian.
Full-time SSL goes Live -- on Hotmail, SkyDrive, Docs, Photos, and Devices originally appeared on Download Squad on Tue, 09 Nov 2010 16:00:00 EST. If you often find yourself needing to compose messages that include people on the CC or BCC fields, you can now launch a brand new message with one or both of those fields available by default. As Google Operating System reports, instead of hitting the 'c' button to compose a new message, you can now hit 'd' to compose a new message with the CC field showing, or 'b' to compose a new message with both the CC and BCC fields showing.

Undocumented Gmail keyboard shortcuts for composing CC and BCC email originally appeared on Download Squad on Mon, 08 Nov 2010 17:00:00 EST. Even average users are a bit more in-tune when it comes to security and privacy on the Web nowadays (thanks in part to the recent Firesheep business). As Sebastian pointed out, there's a simple solution: browse using HTTPS whenever possible.

There's a minor problem with that fix, however. Many sites log you in via an SSL-encrypted connection but then immediately redirect you to an insecure page -- which could expose users to unnecessary risk. If you're a Hotmail user, however, LiveSide has spotted an update to your webmail service that will help keep your data safe: full-session SSL. Microsoft had announced in June that full-session SSL support would be coming, and now any user can opt-in to the feature by visiting https://www.hotmail.com and clicking the button shown above.

What does that mean? In essence, it means that from the moment you sign in to the moment you sign out, all of your activity on Hotmail is served via HTTPS and protected by SSL. If you're using Hotmail on a public computer or unfamiliar wireless network, full-session SSL is the best way to access your account.

Gmail, of course, has had this feature for a few years -- but it's certainly a good thing to see Microsoft providing a more secure access option to Hotmail's 300+ million users.
It looks like this is still at the experimental phase and therefore isn't widely available yet. If all goes well during the testing period, recording should be made available to all users who have the call phone option enabled in Gmail.

Call recording in Gmail is quite similar to the same feature in Google Voice. You can press the record button when you start a conversation -- or at any point during a conversation. Press it again and the recording stops. Your recordings are presumably saved online, the same way Google Voice recordings are.

That's it. Neat, simple, easy to use. Coming soon to a Gmail account near you.

The Gmail team has just announced five new themes for Gmail:

Basic Black: Shown above, it's a bare bones high-contrast theme; it's actually quite soothing.

Basic White: It's the same as Basic Black, only in white.

Android: This one seems like kind of a shameless marketing move (where's the "iPhone" theme?), but it's really a nice theme. You get a subtle circuit-board pattern up top, with a tiny Android hanging off of the Chat pane. It's very reminiscent of the Android theme for Google Chrome.

Tree Tops: It's exactly what it sounds like. You get a bunch of foliage in the header, and the whole thing is very green. It's not particularly exciting.

Marker: This theme takes a highlighter to Gmail. It basically makes it look as if the Chat window and various headers are just "markered in" by hand. This one is actually the coolest - I think I'll be keeping it.

The themes are already available for both Gmail and Google Apps users. Try them out, and if you can't decide you can always just click Random at the bottom right corner!

Gmail gets five new themes which emphasize usability, fun originally appeared on Download Squad on Fri, 05 Nov 2010 05:47:00 EST.
"Remember Mom's birthday," says the bland email from Google Calendar. Sometimes that's enough, really -- but other times, you may want to add a bit of pizzazz to make things more interesting... Especially if you're sending that scheduled reminder to someone other than yourself.

Alertful is a simple, well-designed email alert service. It works kind of like e-cards: there are tailor-made reminders for all sorts of specific occasions, such as a birthday, a meeting reminder, a holiday reminder, a "pet to the vet" reminder, and even a "money reminder." It's British, so there's an "MOT renewal reminder," too (that's Ministry of Transport, I believe). Each reminder has a little tie-wearing dude with a speech bubble, telling you something like "Remember, your MOT is about to expire on...." Here's a sample.

When you set a reminder, you have to fill in a short form with the date, the email you wish to send the reminder to, the frequency (one off, or how often the reminder should be sent), and some other details. I only wish they had custom forms for the different reminders - they all seem to contain the same set of questions. All in all, Alertful is a neat little service.

Alertful lets you schedule cute, lively email reminders originally appeared on Download Squad on Tue, 02 Nov 2010 15:30:00 EST. Microsoft has been cramming tons of useful new features into Hotmail this year, and the venerable webmail app is looking better than ever. Today, Microsoft has announced the arrival of another new feature -- one that is squarely aimed at encouraging new users to give Hotmail a try.

One big thing which prevents users from making the switch to a new mail provider is the fact that they've already got an address -- and an address book full of people who know it. You can already register a Windows Live ID with your trusty old email address, and now Hotmail makes it even easier to use that address on the Web.

While most webamail apps like Gmail and Hotmail can be configured to handle existing mail accounts, it's not something the average user is aware of. If you do make the switch, don't forget about this handy tool which can set Hotmail as your default Windows email program.

Hotmail makes using your existing email address easier than ever originally appeared on Download Squad on Mon, 01 Nov 2010 14:30:00 EST. Mailto:// links are still pretty common on the Web, and they can be somewhat bothersome if you use a Web-based email app like Gmail or Hotmail. Wouldn't it be great if you could tell Windows to open your webmail's compose page instead of trying to load a desktop program like Outlook Express or Windows Mail?

There are actually several ways to get Windows to do this, but not many are as simple as GmailDefaultMaker. It's a free program that allows you to choose whether you want mailto:// links to open with Gmail, Hotmail, AOL Mail, or Yahoo! Mail during the installation process.

Once the install has completed, you'll never notice GmailDefaultMaker at work -- there's no taskbar or system tray icon. It's still doing its job, however, but like a lot of handy little programs it just works and stays out of the way.

No, this won't let you email files from your desktop with a right-click. Affixa may be the answer if you're looking for a more full-featured solution.

The first improvement is speedier scrolling; it now matches the pace with which you flick your finger. It's a nice touch that makes it easier to get through long lists or bloated emails.

Scrolling speed is backed up with persistent tool bars, rather than the pop-up variety, which now stay on the screen as you scroll and allow you to make quick selections and perform routine operations with fewer taps. That's great news if you rely on Gmail filters and features for your email workflow (which the iPhone's built-in mail client handles poorly), but you need access on the go.

Google's still looking for ways to improve its Gmail Web app, and you can give your two cents either on the forum or on Twitter (with the hashtag #gmailmobile). In the meantime, you can use Mobile Safari on your iPhone or iPod touch (that's running iOS 4 in English only) to head on over to gmail.com and take it for a test drive.
Updated Gmail for iPhone blurs the line between Web and native apps originally appeared on Download Squad on Thu, 28 Oct 2010 08:00:00 EST. Last month we brought you a sneak peek at the new Yahoo Mail interface -- and as of today anyone can sign up. Other than the usual slew of new features -- a virus scanner, spam protection, sexy mobile clients -- this launch also heralds the launch of a very purple theme... which you can't seem to change...

There's an accompanying Yahoo! Developer Network blog post if you want details of the technical changes behind the new Beta. Most notably, Yahoo deployed a bunch of efficient HTTP proxies around the world that significantly speed up connectivity if you're not based near Yahoo's mail servers in the U.S. They also overhauled the rendering of the website itself, utilizing YUI 3, CSS3, and anything else that could reduce the amount of clunky HTML required -- gone are <table> elements!

All in all, the changes make for a much smoother Yahoo Mail experience. A lot of the cruft has been removed -- so much so that it looks a bit like Gmail, but with a "social" landing page tacked on the front. Let's not forget that Yahoo Mail, at least as of last year, owns the U.S. email market -- it's twice the size of Windows Hotmail and almost three times the size of Gmail. This update will affect, in a good way, how the majority of U.S. Internet users send email!
Yahoo!
Usually, when you hit Archive (or Delete) while reading a Gmail message, you find yourself back in the message list of whatever label you were reading (the Inbox, for most). However, once you're there, you usually just click the next message to keep on reading and handling your email.

So... why not just move on to the next message automatically? That's just what the Gmail guys thought, and hence this new Labs feature. Sure, you already have keyboard shortcuts that do this -- [ and ] by default -- but most people don't use them. This new setting makes the process automatic, so you don't have to remember any keyboard shortcut. You can also decide whether "next" means "the next newer conversation" or "the next older conversation." Very handy!

Gmail launches new Labs feature: Auto advance to next message originally appeared on Download Squad on Wed, 27 Oct 2010 05:00:00 EST.
About:support, which has long been the best way to troubleshoot Firefox, can now be used in your other favourite Mozilla product: Thunderbird.

It produces an easy-to-read table with all of the debugging info you might ever need: your current version number; installed extensions; your IMAP, POP and SMTP settings; and your modified preferences -- really, everything you might want to know in a pinch.

For now, about:support is an add-on, but the developers are hoping to get it integrated into a future release of Thunderbird. They need your feedback, though! So if you use Thunderbird, grab the add-on, use it, and provide some feedback. It's worth noting that you don't access the add-on by typing "about:support," either -- go to Help > Troubleshooting Information!
